Executive Assistant to the CEO

Want to help make an impact in the world of special needs?

We're looking for an experienced Executive Assistant to help with 15 to 20 hours of work per week.

You would be working directly with Casey Ames, the founder, and CEO of Harkla.

Applicants must be located in the Boise / Treasure Valley area but will be working from home most days, as Harkla is a remote company.

What The Role Will Be Like

While the majority of this role will be helping with Harkla tasks, anything that saves Casey time will also be a part of this role. This can include personal travel, real estate tasks, and other businesses that Casey owns.

Tasks That You Will Help Casey With at Harkla:

  • Creating shipping labels for inventory orders
  • Tracking inventory shipments and related documents
  • Helping with Tax Compliance paperwork (anything technical would be handled by our accountant)
  • Managing Casey's email
  • Helping Casey with outreach to big customers (schools, hospitals, organizations, etc.)
  • Monitoring press opportunities
  • Creating and updating company Standard Operating Procedures
  • Organizing Company Documents in our Software
  • Researching for new product opportunities
  • Helping with our hiring process
  • Booking Travel
  • Managing Casey's Calendar
  • Editing Casey's Writing

Tasks Outside of Harkla that Casey May Need:

  • Personal Travel
  • Landlord documents and processes
  • Collecting and organizing tax documents
  • Researching and hiring contractors for real estate projects

Software to be Comfortable With or Learn Quickly:

  • Gmail
  • Google Docs
  • Google Sheets
  • Typeform (survey software)
  • Asana (project management)
  • Docusign
  • Skype

The Person We are Looking For:

We need someone who is a detail-oriented perfectionist. Casey often times does not pay attention to details, so he needs someone who can counter that.

We need someone who is confident to learn how Casey would answer emails, and would be comfortable making decisions on which emails Casey should see, which ones can be ignored, and which ones could be answered by you.

Open ended problem solving must be a strength of yours. Being given a general topic to research, and coming back with answers well organized in a report will be a typical task required.

You must have 2+ years of assistant experience and be located in the Treasure Valley area.

Most days of the month would be remote based. Tasks that require leaving the house would be the minority of tasks you are working on. Since this is a mostly virtual position, you must be a self-starter, self-motivated, and able to work independently with minimal oversight.

While this role starts at 15 to 20 hours a week, there is room for growth as needed. As the company grows, the hours for this job will grow with it.

  • 15 to 20 Hours Per Week
  • Flexible hours, but Casey's email needs to be sorted before 10am MT
  • Most work will be home based
  • Starting at $20 to $25/hr based on experience
